Review portfolios carefully

Look beyond the first impression. A polished portfolio is great, but also pay attention to range, consistency, and whether the artist's work resonates with your space. Someone whose practice aligns with your environment or community will likely have a more productive exchange.

Check if they've done exchanges or residencies before — experience with the format is valuable. But don't discount first-timers; everyone starts somewhere, and fresh perspectives often lead to the most surprising work.

Ask the right questions

Before accepting an application, have a conversation. Ask about their project plans for the stay, their working style (early riser? night owl?), any accessibility needs, dietary requirements, and how they handle living in shared spaces.

Good questions to ask: What drew you to this particular listing? What do you hope to create during your stay? Have you lived with other artists or in rural/urban settings similar to ours? How do you handle creative blocks?

Respond to everyone

Even if you can't accept every application, send a brief, kind response to those you decline. A simple 'Thank you for your interest — your work is lovely, but we've chosen another artist for this round' goes a long way.

Artists invest time and vulnerability into applications. Ghosting them reflects poorly on your space and on the platform. A respectful decline can still leave the door open for future exchanges.

Trust your instincts

Beyond the portfolio and the project plan, ask yourself: would I enjoy having this person in my space? Art exchanges are as much about human connection as they are about art. If something feels off in the communication — consistently late replies, evasive answers, unrealistic expectations — it's okay to pass.

Conversely, if someone's portfolio is modest but their enthusiasm and communication are excellent, they might be exactly the right fit. Chemistry matters.
