How to vet a residency before paying the application fee
Application scams are real, and the legitimate ones can have 300:1 acceptance rates. A practical checklist for separating real residencies from cash grabs — and what to ask before you spend money on an application.
Why vetting matters more than ever
Two things have shifted in residency culture over the last few years. First, the pay-to-apply model has spread — programs charging $15–$50 per submission, sometimes with no disclosure of who runs them or where. Second, the legitimate programs that don't charge fees are flooded; one well-known LA gallery had 3,000 applicants for 10 spots in a single open call.
The practical effect is that artists are spending more money on applications and getting back fewer offers. Some of that money is going to programs that genuinely run on those fees. Some of it is going to accounts that exist only to collect $25 from a few thousand people who clicked an Instagram ad. The two look almost identical from the outside.
Vetting before you apply isn't paranoia — it's basic application hygiene. Twenty minutes of due diligence per program saves you the application fee, the time writing the application, and the slow drain of submitting your portfolio to opaque organisations.
Red flags: the checklist
Run a program through this list before you pay anything:
— No named director, board, or staff. A real residency is run by people who will eventually have to talk to you. If the website doesn't name a single human, that's a structural problem.
— No physical address. "It will happen at this chateau in the South of France" is not an address. Real venues have street numbers, postcodes, and Google Maps pins.
— No alumni or visiting artist list. Programs that have hosted artists list them. Programs that haven't, or that don't want you to verify their claims, leave that section empty.
— Application fee with no transparent budget. It's reasonable for a stipend-paying residency to charge a small fee to cover admin. It's not reasonable for a $25 fee to cover "a chateau, free airfare, and all art supplies" with no further information about where the money goes.
— "Free art supplies." Real residencies provide studio space and sometimes a materials budget — they don't promise unlimited free supplies. The phrase is a tell.
— Hidden or blocked critical comments on social media. Legitimate programs respond to criticism. Programs that delete questions or block users asking for details are protecting something.
— No terms and conditions on the application. If you're submitting a portfolio + personal data + a fee, you should know exactly what's being collected and what happens if you're not selected.
Green flags: what legitimate residencies look like
The flip side is just as practical. Real programs almost always have:
— A named director or curator with a verifiable presence outside the program (LinkedIn, prior gallery roles, published interviews).
— A physical address you can search and confirm against street view, prior press coverage, or Google Maps reviews.
— An alumni archive — usually a list of past residents with their work, sometimes a few years deep.
— A specific application that asks meaningful questions: dates you're available, accessibility needs, prior residency experience, what you'd work on, references.
— Press, partnerships, or institutional affiliations you can independently verify (a university partner, a published article in a known art publication, membership in residency networks like Res Artis or TransArtists).
— Clear terms about what's covered (accommodation, studio, stipend, materials) and what isn't (travel, visa fees, insurance).
None of these alone proves legitimacy. But a program that has all of them is almost certainly real, and a program that has none of them almost certainly isn't.
Application fees: when they're acceptable, when they're a tell
Application fees are a contested topic. The European norm is that reputable residencies don't charge them — the reasoning being that an organisation looking for artists shouldn't extract money from those artists upfront. The American norm is more permissive: $15–$25 fees are common, often used to cover the time of an external juror reading 1,000+ submissions.
A practical rule: a fee under $25 from a program with full transparency (named jury, alumni list, real address, published past results) is usually fine, especially if the program offers a stipend that vastly exceeds the fee. A fee from a program with none of that information is the product itself — you are not paying to apply, you are paying to be the source of revenue.
If you're applying to multiple fee-charging programs, treat the fees as a portfolio cost. Twenty fees at $25 is $500 a year. That's worth tracking and being selective about, not paying reflexively because the open call landed in your inbox at 11pm.
Questions a real application asks
One way to tell whether a program has thought about hosting you is by what its application asks. Real residencies want to know:
— Availability. Specific date windows, not just 'open call 2026.' Real programs have specific session dates because real venues have a calendar.
— Accessibility needs. Mobility, dietary, sensory, language — programs that haven't thought about access haven't thought about hosting.
— Prior residency or exchange experience. Not as a gatekeeper, but because it shapes orientation. A first-timer needs more support than a fifth-timer.
— Project intent. What you'd actually work on if accepted. Vague applications produce vague stays.
— References. Not always required, but real programs often ask. Lack of any reference field can signal that the program isn't expecting to verify anyone.
— Visa, passport, travel logistics. International programs that don't ask about your passport are not actually international programs.
If an application is just "name + IG + website + payment," the program isn't ready to host you. They're collecting submissions, not curating a cohort.
Direct-apply alternatives
Not every artist opportunity has to come through an open call. A growing number of artists find residencies, exchanges, and gigs by writing directly to spaces whose work or location resonates with their practice — galleries, artist-run spaces, eco-lodges, studios with spare rooms. Direct applications skip the application fee entirely and let you have a real conversation with the host before either side commits.
